# Invite a member

> Invite someone by email and choose what they can do. They join when they accept.

## Before you start

- Owner or admin role in Soosh

## Send the invite

**Invite member** emails someone a link to join your workspace. Nobody joins until they accept: you can't add someone to your workspace without them agreeing. To change a role later, see [Change a member's role](https://docs.soosh.io/guides/workspace/change-a-users-role/).

1. Go to [**Settings > Members**](https://app.soosh.io/settings/users) and click **Invite member**.
2. Enter their **Email**.
3. In **Role**, choose what they'll do:
   - **Agent**: answers chats and calls, and sees every chat and contact.
   - **Manager**: runs the daily work: chats, contacts, campaigns, templates and the bot.
   - **Admin**: can do everything except add money to the wallet.
4. Click **Invite**.

*Picture: The Invite a member window with ravi@bluelotus.example entered and the role Agent chosen*

Soosh shows **Invite sent to ravi@bluelotus.example**. Under the roles, a line says what the chosen role can do, if you can view roles.

**Role** starts as your workspace's default role. Your workspace may also have roles your admins created; they're in the same list. Only the workspace owner can give the **Admin** role.

You don't set a name or a password for them: they choose their own when they accept. The invite says the same thing whether or not the email already has a Soosh account, so it can't be used to find out who has one. If you invite the same email again, the new link replaces the old one. If your plan has no free places for members, Soosh refuses the invite and says so; see [Limits](https://docs.soosh.io/reference/limits/).

## What they see

They get an email: **Anita Desai invited you to Blue Lotus Fashion**. The **Accept invite** button opens a page that says who invited them and as what. Then:

- **New to Soosh:** they enter their full name, choose a password (at least 12 characters) and click **Create account and join**.
- **Already have an account:** they enter their password and click **Sign in and join**, or click **Accept invite** if they're signed in already. The workspace is added next to their others.

If their account still has a temporary password, or never got one of its own, they set their own first (the page shows how), then come back to the invite.

The link works once, for 7 days. Only the invited email can use it: someone signed in as another account is asked to sign out first.

When they accept, you get an email: **Ravi Kumar joined Blue Lotus Fashion**. It follows the **Email notifications** switch in your profile.

## Pending invites

Until they accept, the invite is listed under **Pending invites** below the members on [**Settings > Members**](https://app.soosh.io/settings/users), with its role and who sent it. You see only the email you typed, not their name.

- Each invite says whether its email got through: **Sending**, **Sent**
(your email service took it), **Delivered** (their mail server accepted
it) or **Not delivered**, with the reason under it. If it says
**Delivered** but they can't find it, ask them to check their spam folder.
- **Send again** sends a new link that works for another 7 days; the old one stops working. Wait a minute between sends.
- **Cancel invite** asks first, then stops the link from working.
- An invite nobody answered says **Expired**. Send it again to give them a new link.

If an admin who sent an invite can no longer give that role (their own role changed, or they left), their invites stop working, and the invite page says so. Send a new one. Deleting a role cancels its invites.

### When Soosh can't send email

If your Soosh server isn't set up to send email, sending an invite shows its link instead. Copy it and send it to them yourself. It's shown once; for a new link, click **Send again**.
