Set up Soosh in four steps

Connect your WhatsApp number, invite a teammate, get a template approved and send your first campaign.

By the end of this tutorial you’ll have connected your WhatsApp number, invited a teammate, got a message template approved by Meta and sent your first campaign to your VIP customers. The examples are from Blue Lotus Fashion, a clothing shop.

It takes about 25 minutes, plus the time Meta takes to approve your template: usually a few minutes, sometimes longer.

  • A Soosh workspace where you’re the owner
  • The phone number you want to use. It can be on the WhatsApp Business app already, or not on WhatsApp at all.
  • The phone, nearby, to scan a code or receive one by SMS
  • A Facebook account that manages your business on Meta, or that can create one
  • A payment method for your WhatsApp account on Meta, which Meta needs before you can send templates and campaigns
  • For step 4, a few customers with a name, tagged VIP: customers appear in Contacts once they message you, or you can add them, then tag them
  1. In Soosh, go to Settings > WhatsApp numbers and click Connect with Facebook.
  2. Choose how the number is used today:
    • WhatsApp Business app, if it’s on the app on your phone. You can keep using the app.
    • A new number, if it isn’t on WhatsApp yet.
  3. Click Continue with Facebook. A Facebook window opens.
  4. In the Facebook window, sign in and follow Meta’s steps: choose your business, then your number. For a number on the app, scan the QR code with your phone; for a new number, enter the code Meta sends by SMS or call.
  5. Back in Soosh, wait while it says Setting up your number. It takes a few seconds.
  6. When you see You’re connected: for a new number, click Copy next to the Two-step verification PIN and keep it with your passwords; you need it to move the number later. For a number on the app, keep WhatsApp open on your phone while your chats sync.
  7. Click Done.

Your number is listed with a green Connected badge.

  1. Go to Settings > Members and click Add member.
  2. Enter their Full name and Email.
  3. In Role, choose what they’ll do: Agent to answer chats, Manager to also run templates, campaigns and the chatbot, or Admin to also manage members, roles and settings.
  4. Click Add.

They get an email with a link to set their password, and appear in the list as Password setup pending until they do.

A template is a message Meta has approved. You need one to message customers who haven’t written to you in the last 24 hours, and every campaign uses one.

  1. Go to Campaigns > Message templates and click Create template.
  2. Under What are you sending?, choose Marketing.
  3. In Name, enter diwali_offer. Customers never see the name.
  4. In Message text, write the message. Where the customer’s name goes, click Add variable; it adds {{1}}.
  5. Under Examples for your variables, enter an example for {{1}}, like Priya. Meta reads the message with it.
  6. Optional: in Footer, enter Reply STOP to unsubscribe.
  7. Click Create, then Publish, then Publish again to confirm.

The template shows Pending while Meta reviews it. When Meta approves it, it changes to Approved by itself.

  1. Go to Campaigns and click Create campaign.
  2. In Campaign name, enter a name your team will recognise, like Diwali sale 2026.
  3. Under Pick a message, choose diwali_offer and click Continue.

The Add recipients window opens.

  1. Keep Contacts by tag and click the tag VIP. Click Next.
  2. For {{1}}, choose Contact name, and click Next.
  3. Check the messages and the Estimated cost, then click Add 4 recipients, and Done. Your number is how many tagged customers can get the message: Soosh skips anyone without a name, since the message needs one, and anyone who opted out of marketing. Blue Lotus has 4.
  1. Under When it goes, keep Send now.
  2. Under Check and send, click Send to 4 people (or however many you added), then Send it.

The campaign page shows the messages going out. Delivered, read and replied counts update live, and replies arrive in your inbox.

  • Your WhatsApp number is connected to Soosh through Facebook.
  • Each teammate gets their own sign-in and a role that decides what they can do.
  • Messages that start a conversation need a template that Meta approves.
  • A campaign sends one template to many customers, chosen by tag, and Meta bills each delivered message.
